Sales Administration Assistant

Full Time (includes some Saturday work)

In this position you would be responsible for vendor liaison management and sale administration duties in accordance with the objectives of the Sales Department of Fitzpatricks Real Estate, both in respect to clients and Fitzpatricks Real Estate processes, systems, data, knowledge, client lists and goodwill.

The ideal candidate will be experienced in handling a wide range of administrative and executive support related tasks and will be able to work independently and as a team.  This person must be exceedingly well organised, flexible and enjoy the administrative challenges to support an experienced sales professional and buyers agent.

The duties of the sales administration assistant include:

  • Client care – Phone and email general enquiries, calls and mail outs
  • Data Base input, management and maintenance
  • Open House support (Saturdays)
  • Contract administration – order contracts; receipt deposits; associated correspondence and filing
  • Liaise with Solicitors; Financial Institutions; Service and Advertising providers
  • Phone support for the Sales and Property Management Team
  • File creation, management and archiving
  • Produce reports; OFI brochures; call sessions; prepare weekly meeting report

Essentially, you will have:

  • Three or more years’ experience in administration support
  • Excellent diary management skills, including co-ordination of executive meetings
  • Experience and expertise in the use of all office programs, including power point
  • 100% confidentiality with sensitive information and data
  • Current driver’s licence
  • Strong communication skills; professional and mature manner; speech and personal presentation

Desirable:

  • Real Estate experience
  • Experience in contact management software
  • Current NSW Certificate of Registration; Licence or completion of the Course in Property Practice (if not, be prepared to undertake the Certificate of Registration training prior to commencement)
  • Certificate III or IV in business administration or similar

Sales Professional Assistant to Director

Full Time (includes some Saturday work)

In this position you would be responsible for vendor liaison management and sale administration duties in accordance with the objectives of the Sales Department of Fitzpatricks Real Estate, both in respect to clients and Fitzpatricks Real Estate processes, systems, data, knowledge, client lists and goodwill.

The role of this position would be to ensure that all tasks associated with the activities of the Directors, Sales Consultants and the Sales Department, are carried out in an efficient, diligent and professional manner.  To provide administrative assistance in the listing and sales process; including client care, database work and file management.

The duties of the sales administration assistant include:

  • Client care – Phone and email general enquiries, calls and mail outs
  • Data Base input, management and maintenance
  • Open House support (Saturdays)
  • Contract administration – order contracts; receipt deposits; associated correspondence and filing
  • Liaise with Solicitors, Financial Institutions, Service and Advertising providers
  • Phone support for the Sales and Property Management Team
  • File creation, management and archiving
  • Produce reports; OFI brochures; call sessions; prepare weekly meeting report
  • Take and circulate meeting minutes (as required)

Essentially, you will have:

  • Excellent communication skills and high attention to detail with accurate and efficient keyboard and administration skills
  • Professional and mature manner, speech and personal presentation
  • Current drivers license
  • Current NSW Certificate of Registration; Licence or completion of the Course in Property Practice (if not, be prepared to undertake the Certificate of Registration training prior to commencement)
  • Experience using Microsoft Office Suite in an office environment
  • A passion for providing exceptional customer service

Desirable:

  • Real Estate/Sales experience
  • Experience in contact management software
  • Certificate II or III in business administration or similar
